Job Description
The main duties of the position include:
Represent the company’s interests by visiting all clients at agreed intervals, along with the responsible supervisor and accounts team.
Based on client interactions, advising and working with the office staff to track action items to closure.
Ensuring that the Accounts team follows the monthly statutory procedures – PF, ESI, GST, Gratuity.
Ensuring that Gratuity payments are made to the EDLI account on a monthly basis, following receivables from customers.
Ensuring that the work activities of the staff are co-ordinated to ensure that there is a commitment to team working and that the best use is made of time and resources.
Ensuring that external invoices for chargeable work are submitted promptly to customers.
Ensuring that the organisation does not have A/R of more than 60 days for any customer.
Ensuring that service charges are reviewed from time to time so that the work undertaken is effective and cost efficient for the organisation.
Keeping all contracts current and updated.
Working with the accountants to put together monthly budgets, cash flow forecasts.
Supervising cash related payments and transactions.
Overall responsibility for all administrative and management functions including ensuring that labour policies are up-to-date, and in line with annual changing requirements.
Overall responsibility for all employment matters, ensuring that an appropriate structure for line management is in place with periodic supervision for all members of staff.
Responsibilities include overseeing disciplinary matters, ensuring induction processes are in place for newly appointed staff members (and others on work placement) and that an annual appraisal takes place with each member of staff.
Ensuring that adequate cover is provided when any staff member is absent through holidays, sickness and other time off work along with ensuring that up to date records of staff holidays, sick absence, time owing and any other records required are maintained.
Plan periodic night checks and ensure the execution via the supervisors or other designated staff, with appropriate allowances in place.
Providing a weekly report and having a weekly meeting with the Board of Directors.
Aligning periodically with the Chartered Accountant and Company Secretary for statutory matters, and advising the Board about actions that need to be taken.
